Summary

The Payroll Accountant is responsible for managing, maintaining, and reviewing payroll and accounting systems to ensure the accurate and timely processing of payroll transactions, as well as assisting with various financial tasks to support the organization's fiscal operations. This role involves ensuring compliance with state and federal laws regarding payroll and financial reporting, as well as providing support during audits and financial analysis.

Key Responsibilities

• Payroll Processing:

• Manage, maintain, and review payroll systems to ensure accurate processing of payroll transactions including salaries, benefits, garnishments, taxes, and other deductions.

• Ensure timely processing of payroll updates for new hires, terminations, and changes to pay rates.

• Prepare and issue W-2, W-3, 1099 forms, and other required documents in compliance with state and federal laws.

• Financial Accounting:

• Administer departmental invoicing process via financial software, ensuring accurate entry of accounts payable invoices and adherence to accounting practices.

• Maintain and reconcile accounts including subsidiary ledger, general ledger, and budgetary and control accounts.

• Prepare and analyze trial balance, monthly, and yearly financial statements and reports.

• Assist in monitoring project expenses and capital improvement (CIP) expenses, ensuring proper coding and reporting.

• General Ledger Management:

• Ensure accurate input of general ledger postings by coding journal entries and reviewing account coding.

• Balance and deposit cash receipts, identify discrepancies, and adjust accounts as needed.

• Financial Reporting and Audit Support:

• Assist in the preparation of comprehensive annual financial statements and reconciliation of accounts.

• Prepare work papers, schedules, and financial statements for external audits.

• Assist with month-end closing processes and financial analysis for board meetings.

• Budgeting and Expenditure Control:

• Assist in maintaining and reconciling internal expenditure and budgetary control accounts.

• Prepare fiscal and accounting data for developing department budgets.

• Fixed Asset Management:

• Record and maintain fixed asset accounts, assist with annual physical audit, and prepare reconciliation schedules for year-end financial audit.

• System Maintenance and Customer Service:

• Assist with the development, implementation, and maintenance of financial software applications.

• Provide superior internal and external customer service, adhering to safety procedures and representing the organization positively.

Qualifications

• Bachelor's degree in Accounting, Finance, or related field.
