    Jacobs is seeking a detailed oriented, highly motivated Program Assistant to join the expanding Florida's Turnpike Operations and Technology team in Pompano Beach, FL. As a Program Assistant, you'll be an important part of the project team as you assist with a variety of tasks supporting the Program Management personnel for Jacobs Engineering / TEAM Turnpike Project. You'll provide a wide range of administrative functions, under the primary direction of the Program Director, as well as providing executive support to Senior Management within the project some of which include Timesheet Coordinator, Human Resources Liaison, Benefits Enrollment, Monthly Reports, and customer service to internal staff.

    Essential duties and responsibilities

    • Perform a wide range of functions under the primary direction of the Program Manager as well as providing executive administrative/special project support to senior management.

    • Provide support to the Emergency Coordinating Officer for all administrative needs, including Emergency Operations Center (EOC) scheduling and meeting coordination, documents creation and retention, Workplace Contingency Plan Builder coordination, EM SharePoint Owner and data entry. Assist FDOT Directors with Everbridge as needed.

    • Act as HR Representative and provide local support to all staff which includes processing of new hires, benefit enrollment and direction to employee related concerns.

    • Represent Jacobs Engineering Corporate Office to staff for integration of programs and distribution of compliance information, training requirements and corporate changes.

    • Act as Timesheet Coordinator - Weekly coordinator of timesheet entries and submittals, and adjustments to include overtime, time exchange, discrepancies, and submittal to corporate payroll coordinator.

    • Support the corporate vision and mission for Jacobs Civil/TEAM Turnpike Unit to all employees while maintaining the highest level of integrity and ethics.

    • Event planning, meeting coordination, and promotional materials management.

    • Provide administrative support to Jacobs & FDOT managers as needed.

    Here's what you'll need :

    • Seven to ten (7-10) years of advanced administrative support experience

    • Advanced experience with common office software (including Microsoft Office) to accomplish work

    • Proven excellent written, typing and verbal communication skills

    • Proven self-starter, proactive, ability to plan, prioritize and organize workload

    • Demonstrated organizational skills and ability to pay close attention to details

    • Proven high level of professionalism, confidentiality, diplomacy and strong customer service skills

    • Valid driver's license with no major infractions

    Ideally, You'll Also Have:

    • Associate's degree

    • Experience working in a human relations, accounting and public utilities operations environment.

    • Ability to travel between project sites, client offices and the local office to perform all the required duties at each location

    Working Conditions & Physical Requirements:

    The work area can involve a working environment indoors, as well as, outdoors which could cause exposure to outdoor elements; proper environmental attire will be required. Some areas can have loud noise, active machinery, high pressure fluid systems, electrical equipment, confined spaces, heights and depths, fumes, air borne particles, noxious gases, pathogens and various chemicals. Safety is of the utmost importance. The use of appropriate safety equipment will be mandatory in these areas to prevent hazardous contact.

    Must be able to sit, stand, stoop, twist and bend at the waist, turn, kneel, squat, raise arms above shoulder height, grasp, reach, perform repetitive hand movements and fine coordination when preparing reports and using a computer keyboard, have vision sufficient to read computer screens, printed documents and operate office equipment, have hearing in the normal range with or without correction. In an 8-hour time period must be able to transport self across the facility, ascend and descend stair steps, lift objects up to 50 pounds from floor level to waist height, wear and use appropriate safety equipment.
