Description
This position plays an integral role in the Residency Program and the Office of Education. The Program Coordinator (PC) is responsible for parts of the day-to-day administration of the ACGME residency/fellowship training program. The PC reports to the Residency Program Administrator and assists the Program Director (PD) in developing and maintaining the educational quality of the training program and ensuring compliance with ACGME accreditation standards and other regulatory requirements.
The PC functions as a liaison between the PD, residents/fellows, faculty, GME Office, participating sites, and other departments. PCs must be knowledgeable about compliance and regulatory requirements at the various training sites in which their residents/fellows rotate. This position works closely with the other members of the Internal Medicine Residency administrative team.
The residency program coordinator performs or coordinates administrative activities associated with one or more residency programs.
Managing the creation, dissemination, and monitoring of annual rotation, clinic, and call schedules
Managing resident compliance to ACGME requirements, including duty hour reports and supporting reporting compliance
Managing the creation, dissemination and monitoring of resident, faculty, and program evaluations; assisting in residency recruitment programs, including interview day coordination and application management
Assisting in event planning and execution, including resident didactic conferences, educational activities, and other events
Assisting in ensuring program compliance to program and GME policies and procedures
Managing residency verifications
Managing administrative processing documents for residents
Credentialing/Licensure
Ensuring every resident gets and completes the appropriate paperwork to be licensed in the state of GA.
Ensures residents are appropriately credentialed in each of our hospitals.
Tracking resident contracts.
Resident onboarding processes.
Verifications
Verifying/completing paperwork that a resident completed our residency in good standing.
Maintaining resident records and files.
HR Processes
Resident FMLA/Leave of Absence documentation and counseling to resident.
Ensures residents are up to date with GME-required HR paperwork, documentation, and vaccinations.
Residency letters, including letters of recommendation, loan deferment paperwork, jury duty letters, etc.
Administrative processing of any additional GME items.
Semi-Annual Reviews
Liaison between Associate Program Directors and residents for scheduling semi-annual reviews.
Managing reviews in New Innovations database.
NEJM K+ reports to APDs (monthly March-August for PGY3's, semi-annually for PGY1/2's).
Residency Leadership Committee, Core Faculty Coordinator
Coordinate RLC meetings/agendas.
Coordinate Core Faculty meetings.
Manage Core Faculty letters of appointment.
Chief Resident Curriculum
Resident Didactic Conferences
Managing room reservations, coordinating with Chief Residents.
Ordering lunches and coordinating schedule with residency team.
Point person as needed for vendors.
Administrative
Scheduling Program Director's calendar as needed.
Manage resident birthdays.
Managing fellowship letter process with Program Director
Other
Recruitment assistance as assigned.
On-site help at events such as Orientation, Graduation, Research Day, etc.
Primary duties are organizing, coordinating, and planning operational facets of a program and its related activities which include, but are not limited to the following
establishing long-term operational objectives
researching factors that may impact the success of the program, and working with individuals or groups to research and document program requirements in order to provide appropriate input into the development of strategic plans.
Develops work plans to accomplish program goals and objectives and monitors progress toward their achievement.
Conducts research and gathers information to develop various publications.
Develops promotional materials which may include content for reports, briefings, newsletters, grants or other written information related to the program.
Assists in developing and coordinating program-related conferences, conventions, or meetings.
Monitors expenditures and may participate in the budget planning process and prepare financial reports.
May assist in identifying funding resources and developing fund-raising strategies and initiatives.
Prepares operational and statistical reports.
Conducts training, represents the program at meetings and conferences, and networks with affiliated groups.
May supervise assigned project staff, interns and/or volunteers.
Performs related responsibilities as required.
This is not an administrative support position.
NOTE: This role will be granted the opportunity to work from home regularly but must be able to commute to Emory University on a flexible weekly schedule based upon business needs. ?Schedule is based on agreed upon guidelines of department.This role requires residency in the state of GA.Emory reserves the right to change remote workstatus with notice toemployee.
