  • Overview

    The Scheduling Coordinator II willensuretimely,accurate, and completeschedulingservicesfor patients.This position follows theestablished protocolsconsidering availability, priority, andappropriatenesswhen schedulingappointments for patientsand providers.

    This position is on-site at our Baltimore, MD campus.

    Responsibilities

    1. Tracks all new and follow-up patientappointmentsusing the scheduling system.Workswith providers and Care Centers to ensure proper scheduling related to the patient's needs.

    2. Monitors allclinicianleave requests (planned and unexpected) and reassigns to ensureappropriate patientcoverage. Communicatesany coverage concernsimmediatelyto supervisor.

    3. Tracks all cancellationsand no shows forevaluation/treatment appointments using the scheduling system.Works with providers and administrative personnel to ensure rescheduling related to the patient's needs and according to department policies and procedures.

    4. Oversees themaintenanceof andupdates to various databases(i.e.,Epicwaitlists, Tickler File,and Internal Consult).

    5. Tracks andmonitorsongoing Plans of Care tomaintainaccuracy of the schedule,track open times on the schedule,and helpmaintainthepatient waiting list.

    6. Maintains and stays abreast of all insurance requirements as they relate to the collection ofaccurateinformation foreachCare Center.

    7. Monitorsinsurance benefit thresholds andfacilitatesthe acquisition ofadditionalauthorization(s)as needed by working closely withthePatient AccessandFinancial Counseling teams.

    8. Maintainsregular contact with patients, clinics,and departmentsregardingpending insurance clearances, coverage, issues,and/or follow-up activity.Respondsto patients, families, and clinic issues ina timelyand professional manner.

    9. Providesroutine financial counseling and seeksassistance from the supervisor when obtaining answers to resolve patient issues.

    10. Maintains a general understanding of scheduling as it refers to all outpatient medical programs.

    11. Assiststhesupervisor with training newScheduling Coordinators.

    Qualifications

    EDUCATION:

    • High SchooldiplomaorGEDrequired.

    • Associates or higher degree in human services,healthcare administration, orrelated fieldpreferred.

    EXPERIENCE:

    • 3-5years' experienceregistering, scheduling, coordinating, and operating patient servicesrequired.

    • Experience working with Spanish speaking populations preffered.
