    Job Description:

    Leads and coordinates production needs. Proofreads for accuracy, including edits for punctuation, grammar and spelling. Works on complex reports with several types of documents; combines various documents into one electronic file. Prints, copies, and binds reports and other documents for internal and external client deliverables. Works closely with the marketing team to support proposal and other marketing efforts. Supports project teams and management with various types of report needs. Compiles and computes data from a wide variety of sources, some of which are complex and/or technical in nature. Confers with others in collection, compilation and evaluation of data to be used in analyzing problems and investigating solutions. Prepares research approach and determines data requirements; conducts investigation in issues involving moderately complex topics under limited supervision; prepares reports for professional and managerial staff review and action. Downloads and uploads documents into project folders, eRoom, SFT sites, SharePoint, and other sources. Prepares, drafts and edits various types of correspondence of moderately complexity or confidential nature such as emails, letters, memorandum, transmittals, meeting minutes, and forms. Assists with prints and copies of such correspondences. Prepares and processes timesheets, expense reports, and other tasks as required. Acknowledges and responds to written inquires such as emails for administrative services requests. Assists in the review, verification and editing of work produced by other administrative staff. Assists with training other administrative staff. Perform and/or coordinates general office tasks that may include monitoring, stocking and ordering office supplies; receives, opens and determines routing of mail and office correspondence, and other tasks as required to maintain the office functionality. Provides procurement support by working with accounts payables to process overhead and project related invoices and follows up with vendor invoice issues. Answers, screens, and clears incoming telephone calls; prepares and processes fax requests; directs calls and faxes to the proper area for response. Greets, welcomes, and directs visitors to the right personnel. Prepares and maintains visitors and employees sign in sheets. Prepares and schedules office activities such as travel arrangements, internal and external business meetings, client or third-party appointments. Assists with conferences and general office events. Schedules conference room use and catering needs. Maintains common office areas organized. Coordinates office building facility's needs. Organizes and maintains electronic and paper records, files and correspondence in accordance with the retention policy. Performs other duties as required.

    Minimum Qualifications:

    High School diploma or equivalent. 4 years of related experience. Domestic and/or international travel may be required. The frequency of travel is contingent on specific duties, responsibilities, and the essential functions of the position, which may vary depending on workload and project demands. Equivalent additional directly related experience will be considered in lieu of a degree.

    Skills and Abilities:

    Good knowledge in the use of Microsoft Office and Adobe or Bluebeam. Good communication skills, attention to detail, and the ability to work as a team player and with internal and external clientele. Takes initiative and uses sound judgment. Ability to work as a team player and possesses excellent time management skills. Excellent follow through and completes tasks on time.

    Background Check and Drug Testing Information:

    CDM Smith Inc. and its divisions and subsidiaries (hereafter collectively referred to as "CDM Smith") reserves the right to require background checks including criminal, employment, education, licensure, etc. as well as credit and motor vehicle when applicable for certain positions.
