    Coordinates With: Customers, Service Technicians, all other Service staff, Sales Team

    Salary: Commensurate with experience + Benefits

    JOB SUMMARY: MSI seeks a Service Coordinator to be responsible for maintaining positive customer relationships with all existing internal and external customers and potential new customers, and for helping to instill a quality customer service philosophy in all Service Technicians. They are responsible for booking, coordination, invoicing, and A/R as well as assisting with payroll and other administrative tasks as needed.

    ESSENTIAL FUNCTIONS:

    • Receive phone requests from customers for service/maintenance work requests.

    • Responsible for maintaining positive customer relationships with all internal and external customers and potential new customers, and for helping to instill a quality customer service philosophy in all Service Technicians.

    • Inputs and manages service and maintenance requests, customer information and changes to service orders and trouble calls using COINS ERP.

    • Process Billing Information This may include generating invoices, calculating charges, and ensuring that billing records are accurate and up-to-date.

    • Accounts Receivables - This includes tasks such as reconciling accounts, processing payments, and following up on past due balances. Preparing past due AR reports may also be a part of this responsibility

    • Request and distribute COI's.

    • Write and manage Purchase Orders including writing, managing, and tracking orders.

    • Assists with in-shop repair work and warranty items are processed efficiently.

    • Responsible for all written correspondence to customers or vendors pertinent to job duties.

    • Promote and participate in education and training opportunities that allow the company and its employees to meet stated goals, objectives, and business plans.

    • Ability to coordinate and work well with others while maintaining a professional atmosphere.

    • Performs any additional duties as assigned by Manager, including tasks outside of the scope of the job description as needed to support the overall operation and success of the company.

    • Understand and assist in achieving all company goals.

    QUALIFICATIONS :

    Education and Experience:

    • High School graduate or equivalent.

    • 1 - 2 years of service industry billing.

    • Knowledge of commercial and industrial HVAC preferred.

    • Be familiar with products needed to support HVAC Service/Maintenance work.

    COORDINATOR HOURS AND PERMISSIONS :

    • 7:30 AM to 4:30 PM - M-F with 1 hour for lunch break. Lunch break is not billable time.

    • Any deviation from the schedule to be approved by the Manager.

    • All make up hours to be approved by the Manager.

    • Manager will need to approve any additional work hours outside of the normal operating hours.

    Qualifications

    Experience

    Required

    • 1-2 year: 1 - 2 years of service industry billing.

    Preferred

    • Knowledge of commercial and industrial HVAC preferred.
