    A Brief Overview

    The Office of Decedent Affairs (ODA) Evening Supervisor is responsible for supervision of the evening Coordinator team and decedent care workflow. In addition to supervisory responsibilities, he/she will support front-line work as needed. The ODA Evening Supervisor provides training, coaching, and day-to-day performance of the team's duties and ensures that the team/staff adheres to the standards and protocols of Stanford Health Care (SHC) and Stanford Children's Health (SCH).

    In addition, there is the management of organizational systems and workflow, continuous quality improvement, fiscal management, and departmental goals and programs for the Office of Decedent Affairs.

    What you will do

    • Manages and monitors the provision of quality decedent care support in accordance with standards of practice and SHC policies and procedures.

    • Develops, implements, and evaluates systems and practices which facilitate smooth workflow and desired outcomes. Solicits input from managers, leads, and staff. Recommends changes and enhancements to the ODA Manager.

    • Manages, coaches, and trains staff for proper utilization of personnel in relation to the level and type of patient activity, employee expertise, and staffing/scheduling guidelines.

    • Fosters management development of team members through identification of learning needs, designing a development plan, and facilitation of learning opportunities. Ensures there is adequate ongoing educational programs and training opportunities for all staff in areas of responsibility, including orientation of new employees and relevant in-service staff sessions.

    • Interviews, hires, coaches, counsels, and evaluates personnel utilizing appropriate SHC resources including policies, procedures, and the department of Human Resources.

    • Works with ODA team members to develop, maintain, and evaluate a comprehensive continuous quality improvement and safety program that is in compliance with the hospital at large.

    • Proactively uses problem solving process to identify, prevent, or resolve departmental related problems, utilizing the chain of command as necessary.

    • Coordinates and integrates services within department and with other departments by continually collaborating with other managers, leads, and team members. Acts as a resource concerning decedent affairs and the hospital at large.

    • Develops and implements policies and procedures that guide and support the provision of services, ensures that policies and procedures are compatible with the function and goals of SHC and which meet the external regulatory and statutory requirements.

    • Continuously assesses and improves department's performance based on family and staff needs; directs and participates in improving performance and services which benefit staff, patients, and other customers.

    • Effectively maintains appropriate quality improvement and control programs in response to staff and patient feedback, internal standards of care, and external requirements.

    • Manages the activities of patient deaths from time of death to release of remains from SHC and LPCH. This includes management of complex and sensitive cases of demise as well as coordination of workflows related to fetal demises and perinatal losses.

    • Collaborates with physicians, nursing staff, police, Santa Clara County Medical Examiner-Coroner's Office, Santa Clara County Clerk-Recorder's Office, Pathology Department, risk management, etc. to ensure timely disposition with the least liability to the hospital.

    • Next of Kin Determination & Family Determination and Support: Reviews all death cases and provides pertinent and clear information to the family of the deceased and provides consultation regarding autopsy, disposition, and social services.

    • Serves as primary point of contact for family and other associated parties during and after a patient's death for all issues related to disposition/ funeral home releases.

    • Consults with Spiritual Care Services and refer as needed for grief support and religious/cultural needs.

    • Responsible for obtaining valid consent and following up regarding desire for autopsy when necessary.

    • For patients who have no listed next-of-kin or emergency contacts, refer to the county Public Administrator as appropriate.

    • Coordinates morgue admissions and removals and ensures compliance.

    • Oversees EDRS/ FDRS entry of death certificate records, ensuring accurate and timely completion. Works with provider teams to complete physician attestations.

    • Provides 'just in time' education at the facilities, supporting staff and families surrounding all inpatient deaths.

    • Serves as the contact person(s) for Donor Network West (DNW) representatives regarding donation of tissues and organs.

    • Documentation & Internal Communications: Documents timely and accurate information to ensure complex case management. Manages the complex and sensitive decedent affairs process and communicates information to Decedent Affairs team. Acts as liaison between mortuaries and our hospitals.

    • Manages patient intakes and releases from SHC/ SCH morgue.

    • Assists with decedent patient transport working with SHC/ SCH transport and external transport teams.

    • Manages decedent patient viewings as requested by next of kin.

    • Assists with preparing decedent patients for viewing as requested, including assisting with patient transport from morgue to viewing area.

    • Conducts in-service training for hospital staff and clinicians about issues related to the Decedent Affairs Office per request as needed.

    • Coordinates Release of Remains documentation as well as autopsy and donor network holds.

    • Serves as liaison with SOM Anatomical Gift Program and SHC Autopsy department and a decedent's legal next-of-kin researchers concerning procurement of tissue and specimens solely based on opportunities for scientific research.

    • Manages compliance with all regulations related to decedent care.

    • Convene regular meetings with Decedent Care organizational stakeholders to continue improvement efforts.

    • Management of decedent affairs storage, contracts, and reporting.

    Education Qualifications

    • Bachelor's degree in related field (preferred)

    Experience Qualifications

    • Minimum of four (4) years' experience in healthcare or bereavement setting.

    • Funeral home/mortuary/healthcare decedent care experience (preferred)

    • Three (3) years of related experience, including one (1) year of lead or supervisory experience (preferred)

    • EDRS certification (preferred)

    Required Knowledge, Skills and Abilities

    • Demonstrated familiarity, knowledge, and understanding of management principles and practices Familiar with the standard operating processes and procedures within a highly regulated environment.

    • Demonstrated skills in problem solving, interpersonal relationships, and verbal and written communication.

    • Customer service oriented.

    • Handle complaints and sensitive concerns in a courteous and confidential manner.

    • Familiarity with functions including decedent care, documentation, morgue management, and autopsy consenting workflow.

    • Ability to demonstrate knowledge and understanding of organizational systems and workflow in order to supervise/manage properly.

    • Ability to demonstrate knowledge and understanding of continuous quality improvement, fiscal management, and departmental goals and programs.

    • Ability to multi-task, plan, and work within specific timelines.

    • Ability to work in an environment where there are multiple priorities.

    • Attention to detail is critical.

    • Strong coordination and organizational skills required to prioritize deadlines.

    • Knowledge of medical terminology/bereavement training preferred.

    • Ability to work independently and as part of a team.

    • Ability to interpret and analyze clinical data and medical records.

    • Ability to navigate EDRS, FDRS, Microsoft Word, Excel, Outlook.

    • Electronic Death Registration System (EDRS/FRDS) experience/ certification strongly preferred.

    Licenses and Certifications

    • LCSW - Licensed Medical Social Worker - State Licensure preferred

    • CAFD - CA Funeral Director License preferred

    Base Pay Scale: Generally starting at $59.14 - $78.37 per hour
