Description
We are seeking a Receptionist to join our team in Gilbert, AZ. The Receptionist will play a critical role in our daily operations by managing incoming communication, maintaining office organization, and delivering exceptional customer service. This role offers a short-term contract employment opportunity.
Handle incoming emails and tickets from clients using a portal ticket system
Utilize an internal app to track client requests
Report to supervisors on a regular basis, ensuring smooth operations
Assist with parking validation and badge/registration requests
Respond promptly and professionally to internal client requests
Manage conference room bookings and ensure the spaces are well-maintained
Perform regular office upkeep duties such as restocking the pantry
Coordinate and provide administrative support for the delivery of Workplace Services
Maintain accurate records and ensure compliance with brand guidelines
Utilize and maintain databases and other digital tools associated with service delivery
Manage vendor relationships and ensure all contractual documentation is up to date
Onboard new team members and provide necessary training and support
Handle any customer requests or complaints regarding Workplace Experience services.
Requirements - Prior experience in a receptionist role or similar customer-facing position
Strong customer service skills and a commitment to providing exceptional service at all times
Excellent communication skills, both written and verbal, with the ability to interact professionally with all levels of staff and visitors
Proficiency in office functions, including the use of office equipment such as photocopiers and fax machines
Experience in documentation, with the ability to accurately record information and maintain records
Proficiency in Microsoft Excel, Microsoft Word, and Microsoft Outlook
Experience in training staff or new hires would be advantageous
Knowledge of billing functions and experience in handling invoices and payments
Experience in materials handling, such as receiving deliveries and maintaining inventory
Ability to maintain quality standards and ensure a high level of service is consistently provided
Experience using databases for record keeping and information retrieval
Knowledge of Human Resources (HR) Administration would be beneficial
Proficiency in email correspondence, with the ability to respond to emails in a timely and professional manner
Knowledge of insurance procedures and policies would be advantageous
Experience using About Time software or similar time management tools
Ability to provide workstation support and assist staff with basic technical issues
Strong phone presence, with the ability to handle incoming calls and enquiries in a professional manner
Leadership skills, with the ability to take initiative and lead by example
Experience in a production or manufacturing environment would be beneficial
Familiarity with receptionist duties, including greeting visitors, directing calls, and maintaining a clean and welcoming reception area
Experience dealing with vendors and suppliers, including placing orders and resolving issues
Experience in onboarding new staff members would be advantageous
Ability to perform ad hoc financial tasks, such as basic accounting or budgeting
Knowledge of digital platforms and technology, with the ability to adapt to new systems and processes quickly.
