    Robert Half is partnering with a non-profit organization in San Antonio, TX dedicated to empowering minority and low-income communities and is currently seeking an Executive Assistant to support the Co-Executive Director. We are looking for an experienced individual with exceptional organizational abilities to provide comprehensive assistance to the Executive Director.

    The ideal candidate should possess flexibility, strong organizational skills, attention to detail, and the ability to manage various tasks simultaneously. This role demands a high level of professionalism, discretion, and diplomacy to handle sensitive and confidential matters effectively.

    Requirements

    JOB DESCRIPTION

    • Provide comprehensive administrative support to the executive director, ensuring smooth operations at an executive level.

    • Manage the flow of information pertinent to the executive director, ensuring timely dissemination and follow-up.

    • Track and monitor tasks and projects assigned to the executive director, ensuring completion within specified timelines.

    • Execute general administrative procedures with autonomy, employing discernment to prioritize tasks effectively.

    • Engage with community partners, donors, elected officials, and internal stakeholders in person, via email, and through telephone communication on behalf of the executive director

    • Maintain the executive's schedule and coordinate travel arrangements for conferences and meetings.

    • Draft correspondence, including letters, memos, speeches, and emails, addressing internal and external audiences.

    • Organize and manage files, ensuring efficient retrieval and storage of information.

    • Act as a liaison between internal and external contacts, facilitating communication and collaboration.

    • Maintain regular communication with the Board of Directors, oversee meeting logistics, draft agendas and minutes, and manage follow-up actions.

    • Participate in various special projects to support the Co-Executive Director and organizational goals, such as creating presentations and conducting research.

    • Perform additional duties as assigned or delegated by the Co-Executive Director, which may include supporting other senior staff members.

    MINIMUM REQUIREMENTS

    • Minimum of 2+ years of executive-level assistant experience, preferably within the non-profit or union sector.

    • Exceptional oral and written communication skills, with writing, editing, and proofreading proficiency.

    • Ability to work independently under pressure and prioritize tasks to meet deadlines.

    • Demonstrated initiative, discretion, and sound judgment in anticipating and addressing organizational needs.

    • Proficiency in managing multiple projects and deadlines in a fast-paced environment.

    • Proven ability to handle confidential information with discretion and professionalism.

    • Diplomatic and professional demeanor, with strong interpersonal skills.

    • Fluent in Spanish is preferred but not required

    • Proficient in Microsoft Office, email programs, and online calendars.
